Summary

Doneasy is a reminders app for the things that run a household: the car, the home, the family, dates and places. Your records are stored on your phone and leave it only when you choose to share or export them, or through your device backups. The iPhone app has no account, no server of ours, no advertising and no analytics. The website uses cookie-free usage and performance measurement through Vercel, separately from the app. We also receive messages you send to support, and our hosting provider processes connection details when you visit doneasy.app. Vehicle details and number-plate year suggestions are handled on your device, without contacting an online lookup service. The sections below say exactly what happens in each case.

Who we are

Doneasy is developed and operated by an individual developer in the United Kingdom, trading as Doneasy. For the limited data described in this policy, Doneasy is the data controller under the UK General Data Protection Regulation and the Data Protection Act 2018.

What this policy covers

This policy covers the Doneasy app for iPhone and the website at doneasy.app. It does not cover Apple's services, which have their own privacy policy, or the file, email and calendar providers you choose to use alongside Doneasy.

The records you keep in the app

Everything you enter in Doneasy is stored on your device, in the app's own private storage: reminders, Keeps, dates, notes, places, attached photos, your settings, and the record of what you have bought. Doneasy has no access to any of it. It is not uploaded, synchronised to a cloud service of ours, or used to build a profile. Because these records stay with you, Doneasy is not the controller of that data; you are the only person who holds it.

Your iPhone backups may include Doneasy's data, depending on your Apple settings. That is Apple's service, under Apple's terms.

Permissions the app may ask for

Doneasy asks for a permission only at the moment a feature needs it, and explains why on screen. You can withdraw any permission in iOS Settings at any time.

• Notifications, to deliver reminders. Notifications are scheduled and shown by iOS on your phone; nothing is sent to a server to make them work.
• Camera, to scan a partner's pairing code and to take photos for your records. Pairing scans are not saved.
• Calendars, only if you choose to import events. Doneasy reads the events you pick and copies them; it never changes or deletes anything in your calendars.
• Bluetooth and local network, only if you pair with a partner. They are used to find your partner's phone nearby and to send data to it directly.
• Photo library access is not requested. Pictures come through Apple's picker, which hands the app only the images you select.

Photos

You can attach up to six pictures to a reminder, note, Keep or place. Each picture is resized to a longest side of 1600 pixels and re-encoded as a JPEG on your device, which removes embedded metadata such as location coordinates. Photos are stored with your other records on the phone. When a record is deleted, its photos stay with it in Recently deleted; files no record refers to are removed when the app next starts.

Calendar import

Calendar import copies events from the calendars connected to your iPhone into Doneasy Dates. Apple provides full calendar access for reading events, so that is the permission requested, but Doneasy only reads. You choose the calendars, the date range and the individual events. The copied titles, dates, times, notes, locations and calendar names are stored in Doneasy on your phone. It is a one-time copy, not a running link. Google and other calendars come through the accounts already set up in Apple Calendar; Doneasy never asks for their passwords. Calendar files you open in Doneasy are read on the phone in the same way. Imported items can be deleted in Doneasy at any time.

Sharing with a partner

Couple sync is optional and off by default. If you pair two phones, the records you mark as shared travel directly between them over Bluetooth or your own Wi-Fi network. Each phone generates its own key pair; the two phones derive a shared key between themselves, and everything sent is encrypted with AES-GCM. No server is involved, and Doneasy cannot read what is exchanged.

Only records you mark as shared travel, together with their attached photos. Photos on Keeps travel only when you switch on sharing for those photos; private Keep details never do. Unpairing stops sharing from your phone. Copies your partner already holds remain on their phone, and a partner who is offline learns of the unpairing when they next connect.

Backups and exports

You can export a backup of your records at any time. A backup with photos is a ZIP archive; if you set a passphrase, the whole archive is encrypted with AES-256-GCM using a key derived from that passphrase, and Doneasy never holds the passphrase. Without a passphrase, anyone with the file can read it. You choose where a backup goes, such as Files, iCloud Drive or another app, and that provider's terms apply to the file from then on. Restoring a backup reads it back into the app on your phone.

Purchases

Doneasy Plus and the optional thank-you purchases are sold by Apple through the App Store. The app uses Apple's StoreKit to show prices, confirm a purchase and restore one on a new phone. Doneasy never receives your payment details. The app keeps on your phone only whether Plus is unlocked and the dates and identifiers of thank-you purchases. Apple's privacy policy covers the App Store and payment services.

Vehicle details

Registration numbers and other vehicle details you enter are stored with your Keep on your device. For supported British number plates, Doneasy can suggest a year from the plate format using only on-device calculations. This is a suggestion, not a verified vehicle record, and you can edit or leave it blank. No registration number is sent to Doneasy, the DVLA or any other lookup service. Inspection dates are entered separately when you choose reminders; they are not inferred from a number plate. Vehicle details are included if you choose to export a backup, as described above.

Diagnostics

Settings offers a diagnostics file to help with support. It contains the app version, the state of the App Store products, notification permission and pending notification counts, and any recent error messages. It never includes your reminders, notes, photos or any other record. It leaves your phone only if you save and send it yourself.

The website

When you visit doneasy.app, the hosting provider, Vercel, receives connection details such as your IP address, the page requested and your browser type to deliver and protect the site. Vercel may process this data outside the United Kingdom under its own safeguards.

The public website uses Vercel Web Analytics and Speed Insights to understand page visits and improve loading speed and responsiveness. These services do not use cookies. Reports include pages visited, referring sites, country, browser and device categories, and website performance measurements. Vercel describes this measurement as anonymous; it does not let us identify individual visitors or follow them across websites.

We remove page query parameters and fragments before sending measurements. We do not send form contents, custom interaction events or records from the iPhone app. The embedded demo is not measured separately from its surrounding website page. There are no advertising scripts. These website services do not run inside the iPhone app.

Support correspondence

If you write to support@doneasy.app, your email address, your message and any attachments are handled by our email provider so that we can reply, and may be processed outside the United Kingdom under that provider's safeguards. Please include only what the question needs. Correspondence is kept while the matter is open and for up to 12 months after the last message, unless a longer period is required by law.

Data retention and deletion

Records in the app stay until you delete them. Recently deleted holds your ten most recent deletions so they can be put back; older entries are removed as new ones arrive, and you can delete any entry for good at once. Deleting the app removes all of its data from the phone. It does not remove files you exported, backups made by your phone, copies already held by a paired partner, or Apple's record of your purchases.

Security

Your records are kept in the app's private storage on the device, protected by iOS. Data exchanged with a partner is end-to-end encrypted, and passphrase backups are encrypted as described above. Because Doneasy runs no server and holds no copy of your data, there is no central store of user records to breach. Exported files and backups are under your control once they leave the app; keep them somewhere you trust.

Children

Doneasy is a general-audience app and is not directed at children under 13. We do not knowingly collect personal data from children. Since the app collects no personal data from anyone as part of normal use, a child using it with a parent's consent shares nothing with us.

Your rights

For the records you keep in the app, you exercise your rights directly: you can view, edit, export and delete everything yourself, and no request to us is needed. For the data Doneasy does hold, such as support correspondence and website connection logs held by our providers, you have the rights given by UK data protection law: to access it, correct it, have it deleted, restrict or object to its processing, and receive a copy in a portable format. Write to support@doneasy.app and we will respond within one month. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, or to the data protection authority where you live. Website measurement reports do not identify individual visitors, so we cannot link an anonymous measurement to a person making a request.

Changes to this policy

If the way Doneasy handles data changes, this policy will be updated and the date at the top will change with it. Any new use of a phone permission is explained on screen at the moment it is asked for. The current version is always at doneasy.app/privacy.html, and a copy is included in the app so it can be read offline.
